What it means

Occupancy rate measures how full in-service seats are at a snapshot or on average over a window. Available seats and capacity remaining show open guest seats at the reading. In average mode, seat utilization compares occupied seat hours to total seat hours available across operating hours. Optional guests add covers context without changing fill math. This page is not Seat Turnover (guest cycles per seat), not Table Turnover (parties per table), not RevPASH (dollar yield per seat hour), and not a full layout capacity planner.

Assumptions

  • When observation period is omitted in average mode, it equals operating hours.
  • Benchmark bands are planning guides for casual full-service fill.

Limitations

  • Does not model reservation no-shows or walk-in arrival curves.

How to read your occupancy rate

Occupancy measures seat fill, not guest cycles, table reseats, or dollar yield per seat hour.

  • Start with occupancy rate

    Divide occupied seats by total seats for the reading. That is how full the room is.

  • Excellent (occupancy ≥ 75%)

    Strong fill for casual full-service. Watch wait times so pace stays comfortable.

  • Good (occupancy 60% to 75%)

    Healthy fill. You still have open seats for walk-ins and pacing.

  • Average (occupancy 45% to 60%)

    Adequate but not protected. Check whether hours, reservations, or dayparts leave seats empty.

  • Low or Critical (below 45%)

    The room is underused for the seats you opened. Fix fill before you expand capacity.

Best practices for occupancy tracking

Operators who track fill treat open seats like inventory that expires every hour.

  • Match occupied seats to the same total seat count

    Closed sections should leave the total seat count. Do not mix lunch seats with dinner counts.

  • Use average mode for trend readings

    Take several floor counts during service, average them, and enter that with your observation hours.

  • Pair fill with covers when you can

    High occupancy with low covers can mean large parties. Low occupancy with strong covers can mean fast turns elsewhere.

  • Use Seat Turnover for guest cycles and RevPASH for dollar yield

    Occupancy shows fill. Seat turnover shows guest usage per seat. RevPASH shows sales per seat hour.

Common occupancy mistakes

These errors make room fill look better or worse than the floor actually ran.

  • Mixing bar seats with dining seats without intent

    Only count seats you are analyzing. Bar-only traffic belongs in a separate run if pacing differs.

  • Confusing occupancy with seat turnover

    A full room with long tickets can still post soft guest cycles per seat. Fill and turnover answer different questions.

  • Judging sales from occupancy alone

    High fill with soft checks still disappoints on RevPASH. Occupancy does not replace dollar yield math.

  • Using handbook seat count instead of seats in service

    Blocked tables and closed sections change the denominator. Count what was actually available.
