Restaurant capacity formulas

Formula
Shared layout:
  Total Seating Capacity = Number of Tables × Seats Per Table
  Dining Hours = Average Dining Time (minutes) ÷ 60
  Max Turns Per Table = Operating Hours ÷ Dining Hours

Seating capacity mode:
  Maximum Guests Per Day = Total Seating Capacity
  Capacity Per Hour = Maximum Guests Per Day ÷ Operating Hours

Service capacity mode:
  Maximum Guests Per Day = Total Seating Capacity × Max Turns Per Table
  Capacity Per Hour = Maximum Guests Per Day ÷ Operating Hours

Optional occupancy target (defaults to 100%):
  Tables Required = ceil((Total Seating Capacity × Target %) ÷ Seats Per Table)
  Capacity Utilization % = Occupancy Target %
  Remaining Capacity = Maximum Guests Per Day × (1 − Target % ÷ 100)

Benchmark (max turns per table):
  Excellent ≥ 2.5, Good ≥ 2.0, Average ≥ 1.5, Low ≥ 1.0, Critical < 1.0

What it means

Capacity planning estimates what your layout can hold and cycle from tables, seats, hours, and dining time. Seating mode shows simultaneous guest limits. Service mode multiplies seats by table turns for full-window throughput. An occupancy target models planned headroom below theoretical max. This page is not Occupancy Rate (actual fill), Seat Turnover (observed guest cycles), Table Turnover (observed parties per table), or RevPASH (dollar yield per seat hour).

Good to know

  • Tables counted are in service for the measured window.
  • Seats per table reflects the actual layout, not handbook maximums.
  • Dining time is average occupied minutes per party, greet to clear.

Ideal range

  • Not actual seat fill. Use Occupancy Rate for that.
  • Not observed guest cycles. Use Seat Turnover for that.
  • Not observed table reseats. Use Table Turnover for that.

  • Good (max turns 2.0 to 2.5)

    Healthy headroom. Protect ticket time so actual pace stays near the plan.

  • Low or Critical (below 1.5 turns)

    Long tickets or short hours cap throughput before you run out of tables.
